Submitting a Request

Find the right request in Paperless, fill in the form, and submit your request.

Every request in Paperless is provided by the Study Center Computer Science or another RWTH Aachen University office. To submit a request, follow the three steps below: find the right request, fill in the form, and submit it.

    Finding the Right Request
    1. Select Requests in the top navigation bar to open My Requests.
    2. Click New Request to see the list of available requests.
    3. Find the request you need. You can use the following options:
      • The toggle Show only requests relevant to my studies (on by default) hides requests that are not available for any of your study programs.
      • Enter part of the name of your study program or of the request in the search field Search by course of study or request name… to filter the list.
      • Requests are grouped by category. A badge such as Available for 3 courses shows how many study programs a request is available for.

    Filling in the Form

    Click on the request you want to use. Before the form itself opens, Paperless asks you to confirm a few things:

    1. Your current study — Select the study program for which you want to submit the request. The header of this section shows your course of study (or your student ID, if the request only asks for it). If you have no study profile yet, Paperless tells you You must first create a study profile. and offers a button to add one first.
    2. Program of study for the request — Confirm which study program the request applies to. Select My current study: {your course} if you are submitting the request for the study program you are currently enrolled in. In some cases you may need to submit the request for a different study program — for example, if you have switched study programs or if you are not yet enrolled in the target study program. If that is the case, select Submit request for a different course of study and choose the correct one. This lets the staff in charge see what you are studying, and Paperless assigns the request to the people responsible for the target study program.
    3. Introductory information — If the request comes with an introduction, read it first and confirm it by clicking Read and understood.

    After that, the form opens:

    Some requests need your address, which we do not store automatically. In that case, you will be asked to add it before you can continue.

    Submitting the Request

    When you have filled in all fields, click Submit request.

    • If a field is still missing or invalid, the submission is stopped and you will see the message Please check the following details: followed by a hint for each field that needs your attention. Correct the fields and submit again.
    • If everything is correct, you will see the confirmation Submitted and you are taken to the history of your request.

After You Have Submitted

On the page for your request you will see:

  • The name of the request and its Request no.
  • The tab Request, which shows the submitted content (read-only).
  • The tab History, where you can see every step of the request. You can also send a message to the staff in charge: click New inquiry, write your message, and click Send message.
  • Attach additional files — if the request allows it, you can upload further files later without submitting a new request.

Once the staff in charge have finished processing your request, the status of your request changes and a decision becomes available. You can download the decision using the Download decision button. Please note that the decision is mainly for your own records. For some requests (for example, those handled by the central examination office), changes in other systems may take up to a week after the decision is issued.

Requests Prepared by Staff

In some cases, staff can prepare a request for you. You will receive an email with the subject A new request has been created for you containing a link. The link shows Application ready for submission: you can review the content, confirm your study profile, and either click Submit application to accept it or Reject application if it should not be submitted for you.
