Study Profiles — When They Are Locked

Paperless keeps a study profile for every study program you are enrolled in. When you submit a request, you always do so on the basis of one of these profiles — that is how the staff in charge know which study program your request belongs to.

You can manage your study profiles under the profile icon at the top right, in the Study profiles section of the left menu. Each profile shows the University, Matriculation No., Academic Course and Current examination regulation. For details, see Your Account.

Why a Profile Cannot Be Edited

While a profile is used in a request that has not been fully processed yet, its details are locked. You will see the notice:

These details cannot be changed as they are used in an application. You can add a new study profile with different information.

This is intentional: it makes sure that the details a request was submitted with remain valid while the staff in charge are processing it.

The Workaround: Add a New Profile

If your details have changed (for example, because you switched your examination regulation) and you need a request that uses the new details, how you proceed depends on how you sign in to Paperless:

RWTH Sign-In account: Do not add a profile manually — this is not recommended. Instead, sign out of Paperless and sign in again (see Logging Out). On your next login, Paperless receives your current study profiles from RWTH Sign-In, including any new ones. You can then submit your request as usual and choose the new profile.

External account (not via RWTH Sign-In): Add a new profile manually:

1. Click Add study profile in the left menu.
2. Fill in the University, Matriculation No., Academic Course and Current examination regulation with the correct, current values.
3. Submit your request as usual. Before you submit, Paperless asks you to confirm the Program of study for the request — choose the profile with the correct details.
